Introduction

This Equipment Disposal Policy sets out the requirements for the secure disposal of assets owned by HFRS.

Principles

The IS Department shall ensure that all assets owned by the organisation are recorded within the asset database and shall ensure that assets disposed of by HFRS are removed from the asset database when no longer owned by the organisation.

Most hardware assets will be recycled within HFRS; however if assets are no longer required, only the IS Department shall arrange for their disposal via Simms Group (Recommit).  All staff shall be responsible for returning assets to the IS Department for disposal and shall not dispose of assets themselves.

Software / Information Removal

Prior to the disposal of any HFRS asset, the IS Department shall ensure that all software or information assets are removed.

Where a complete PC or laptop is scrapped the disk drive will be left in the computer  but the data will be wiped from the disk, and the computer will then be sent for re-cycling by Simms Group. (Formerly Recommit) Where a hard disk is removed from a PC or Laptop, or it is an external hard disk this will be physically destroyed before it is sent to Simms Group. The physical destruction should be such that the serial number is still readable.

Installed software shall be removed and the HFRS software asset license database and organizer updated.

Disposal of CD’s DVD’s and Dynotapes

CD roms, DVD’s and Dynotapes containing personal, sensitive or protectively marked data shall be disposed of by use of the internal post, by enclosing in an internal envelope, marked with the name of the sender and Station number or address. Do not include the classification on the envelope and mark it for the attention of the IS Service Desk only. For RESTRICTED and above markings, address the envelope as above, mark CONFIDENTIAL and then place the envelope in a second outer envelope. Do NOT put the marking on the outer envelope.

All equipment disposed of by HFRS shall be in accordance with current legislation and WEE regulations.

The disposal of computer equipment is covered by the following regulations.

The IS Department shall ensure that a reputable organisation is used for the disposal of hardware assets.  Certificates of destruction shall be retained by the Admin Team.
